QR labels on equipment: checkout and return by scan

Published

A QR label on each unit turns checkout and return into one action: point the camera and the right rental opens. Here is how to print labels and use them.

Step 1. Print labels

  • Web app → Equipment → QR labels — labels for all equipment (or for the selected type).
  • Tick rows to print only those — the button shows how many.
  • The equipment card has QR label — for a single new unit.
  • Click Print. Each label has a QR code, inventory number, type and model.

Print on self-adhesive paper or film and cover with clear tape or laminate. Stick it where a phone easily reaches and it will not rub off: under the saddle, on the handlebar, on the board side.

Step 2. Scan

  • Phone or tablet: in the web app tap the scanner icon in the header and point the camera. A regular phone camera works too — the label link opens the web app.
  • Barcode scanner: in the web app's Scan equipment window, or in the desktop app's search box at the top. The scanner types the code and presses Enter.
  • An inventory number or maker's barcode works too if it matches the number in the equipment card.

What a scan opens

  • Free equipment — a new rental with it selected: pick the customer and tariff.
  • Rented equipment — its rental: take the return, add photos and charges.
  • Equipment in repair or retired — its card.

Staff only see equipment at their points. A stranger who scans a label only sees the sign-in page. More on rental inventory tracking with QR codes; pair it with checkout photos.
