Why rental companies need CRM
In the high season the queue grows while staff search the list for a frame number and mistype one digit. With a QR label, checkout and return take seconds: point the camera and the right rental opens.
ProkatOS links customers, rentals, items, tariffs, payments, charges, maintenance, warehouse movements and staff actions. Instead of disconnected rows, the owner sees a business story that can be audited.
What a scan does
- Free equipment — a new rental opens with the equipment selected; pick the customer and tariff.
- Rented equipment — its rental opens so you can take the return.
- Equipment in repair or retired — its card opens.
What to scan with
- A phone or tablet camera right in the staff web app — the Scan button in the header.
- A USB or Bluetooth barcode scanner in the desktop app and web app — no setup.
- The maker's barcode or inventory number: if it matches the number in the card, the equipment is found too.
Printing labels
Labels are printed from the Equipment section on any printer: for all equipment, selected units or one type. Each label has a QR code, inventory number, type and model. Print on self-adhesive paper and laminate it to survive a rainy season.
What ProkatOS covers
Start with clients, an item catalog, tariffs, rentals and payments. Then add finance, warehouse, reports, web portals, notifications, automated backups and custom development.
Roles keep work controlled: operators handle rentals, accountants review money, administrators manage settings and permissions.
Business result
Owners can see rented items, customers with debt, maintenance, popular tariffs, promo code usage and item profitability.

Frequently asked questions
Do I need to buy a scanner?
No. Any smartphone camera is enough. A handheld scanner helps at busy points.
What if a stranger scans a label?
They only see the staff sign-in page. Equipment and rental data are available after signing in.
Does it work for warehouses and tools?
Yes. A QR label fits any unit: tools, electronics, furniture, outdoor gear.
